CONFIDENTIALITY POLICY STATEMENT OF THE ASSOCIATION OF FORMER MEMBERS OF THE EUROPEAN PARLIAMENT

 

I. INTRODUCTION

 

The aim of the Association of Former Members of the European Parliament (FMA) is to build a close, lasting relationship with our members on the basis of trust and mutual interest. In accordance with that philosophy, we regard the protection of your personal data as essential and we would like to inform you about our policy on that issue and the way in which we collect and process personal data.

 

This confidentiality policy statement sets out how the FMA, in its capacity as data controller, uses and protects the information you forward to us when you use this site, which is accessible at the following address: https://www.formermembers.eu/

 

Please not that this confidentiality policy may be modified or supplemented at any time, in particular in keeping with changes in the relevant laws, rules and legal judgments and with technological developments. In that event, the date of the updating will be indicated clearly in a header on the first page of the policy statement. The changes will be binding on users as soon as they appear on line. Users should therefore regularly consult this policy statement on confidentiality and the use of cookies.

III. SCOPE

 

The FMA collects the personal data it needs to achieve the objectives set out in Article 4 of its Statutes:

 

  1. to bring former Members together and to provide for them a forum for meetings, discussions and cultural, scientific and social events,
  2. to facilitate exchanges of information and news among former Members of the European Parliament,
  3. to foster relations between former and current Members of the European Parliament by establishing and using an information network,
  4. to draw on the experience of the former Members in order to strengthen parliamentary democracy and to serve European unity,
  5. to promote contacts between similar organisations in Europe, e.g. former Members’ associations at national level and, in particular, the European Parliamentary Association,
  6. and, more generally, to promote the debate on the development of the European Union in the political and public spheres and to study its impact on institutions, local authorities and citizens.

 

All new members receive a copy of the FMA’s Statutes, which are also available on the FMA’s website: www.formermembers.eu.

 

This policy applies to all the personal data of members collected by the FMA, in particular when registering members and drawing up the Directory.

 

It also applies to all third parties who visit our website or take part in events organised by the FMA.

 

IV. WHY ARE WE COLLECTING THESE PERSONAL DATA?

 

The FMA collects personal data in order to:

 

  • Register members and request payment of the annual subscription;
  • Make payments to members;
  • Invite members to mandatory meetings;
  • Disseminate information about its future events, activities and programmes;
  • Invite members to take part in programmes run by its official partners in the area of education and support for democracy and election monitoring;
  • Optimise the advertising of events it organises, in the Bulletin and Newsletter and on the website;
  • Forward to members copies of the Bulletin and the Newsletter, notification letters, EPRS briefings and any other relevant information;
  • Update the directory of members, which is distributed only to them;
  • Centralise identification and registration processes when events or visits are organised on the European Parliament’s premises;
  • Draw up lists of participants, containing surnames and Christian names and details of the political affiliations of former Members and their terms of office, to facilitate networking among its members;
  • For non-members:
  • Draw up lists of participants at events it organises;
  • Send out invitations to future events;
  • Request a European Parliament access pass in accordance with the procedure laid down;
  • Distribute the Bulletin and Newsletter.

 

The personal data collected will not be used for any other purpose.

 

V. HOW DO WE USE COOKIES?

 

We use the following types of cookies on our website:

 

Cookies which are absolutely necessary:

 

They are essential to enable users to navigate on the website and take advantage of its functionalities.

 

When a cookie of this kind appears, you will be asked to give your consent to the collection of your personal data.

 

If you refuse, however, it will have no bearing on the way you use the website in the future.

 

Performance cookies:

 

The cookies, such as Google Analytics, which we use on our website enable us to collect anonymously information about the way visitors use our website.

 

The data recorded by these cookies do not include personal details which could be used to identify you.

 

VI. WHAT TYPES OF PERSONAL DATA ARE COLLECTED?

 

The FMA may collect some or all of the following types of data from its members and third parties (participants in events, etc.):

 

  • Christian names, names, addresses, telephone numbers, email addresses, identity card or passport details (excluding the national register number) and expiry dates;
  • Nationality, sex, languages spoken, date of birth, political affiliation of former Members during their term of office;
  • Photos and videos of events and programmes it organises;
  • Bank details;
  • Specific information concerning members’ experience and expertise;

 

VII. HOW WILL YOUR DATA BE USED AND SHARED?

All the personal data of members and third parties collected by the FMA will undergo computerised processing carried out only by FMA staff.

The FMA processes only personal data forwarded by members and third parties participating in events it organises.

 

These data will be processed only if this is necessary for the purposes set out in point IV.

 

The personal data collected from third parties participating in events organised by the FMA will be used only for the purposes of identification and registration, in order to obtain a European Parliament access pass or with a view to forwarding newsletters, details of events and other communications.

VIII. RECIPIENT OF THE DATA

 

The personal data will be used primarily to achieve the objectives set by the FMA.

 

Data will not be communicated to third parties except in the following cases:

 

The FMA may share data in the form of feedback from its members concerning their involvement in the ‘European Parliament on campus’ project and in activities in support of democracy.

 

The FMA employs an outside service provider to deal with the management, maintenance and security of its website.

IX. FORWARDING OF YOUR PERSONAL DATA

 

Personal data will not be forwarded to third parties situated in third countries (outside the European Economic Area) or to international organisations, save in the context of ‘European Parliament on campus’ programmes organised with universities situated outside the European Economic Area.

 

However, some types of personal data, i.e. the names and Christian names of the members of the FMA and details of their political affiliations (when they were Members of the European Parliament) are published on our website, to which the public has access.

 

In accordance with the above, and unless it is required to do so by law, for example in connection with judicial proceedings, save in cases where it is necessary to communicate personal data to undertakings whose intervention as service providers on behalf and under the supervision of the data controller is essential for the purposes described above, the FMA will not forward personal data collected in this context, or exchange such data with any organisation or entity, without informing you in advance and securing your explicit consent.

X. SECURITY MEASURES

 

The FMA has drawn up security and organisational procedures with a view to preventing any unauthorised access to personal data during processing.

 

Technical and organisational measures designed to optimise the security of personal data will apply to the collection and retention of such data.

 

These measures will also apply to any third party acting as a subcontractor for the FMA.

XI. RETENTION PERIOD

 

Subject to the application of other laws in force, data will be retained for the period required to achieve the purposes for which they were forwarded, taking due account of the time needed to meet legal requirements and/or the objectives being pursued.

XII. RIGHTS IN RESPECT OF YOUR PERSONAL DATA

 

Members of the FMA and third parties have a right of access and rectification, a right to be forgotten, a right of portability, a right of erasure and a right to oppose or limit processing of their personal data.

 

They also have the right to refuse to be profiled and the right to be notified of security breaches.

XIII. COMPLAINTS

 

Lastly, in the event of a violation of the GDPR, the person whose data was being processed may lodge a complaint with the competent supervisory authority in Belgium, which, in accordance with the Law of 3 December 2017, is the data protection authority.
